Most workflow mess comes from the wrong access. Good permissions keep Jobs tidy and responsibility clear.
Recommended roles
Admin
Full access: settings, templates, users, exports.
Ops / Dispatcher
Create Jobs, set Allocated, create Visits, monitor progress, chase updates.
Engineer
Mobile workflow: view assigned Jobs, add notes/photos, update status, complete Jobs.
Finance
Invoices: Draft, Posted, Payments, exports.
Client (Portal)
View Job progress, Visit slot, attachments/closeout (depending on your settings).
Service Partner
Only sees Jobs allocated to them; uploads evidence and updates.
Best practice
Keep Admins limited.
Create one “Ops Supervisor” user with higher access for cover and escalations.
